How to Transmit Text and Graphics Files to AIP Production



Pre-submission: Preparation of Text and Graphics Files

Note: Do not send files to AIP unless you have been instructed to do so by the Editorial Office. AIP accepts files only after articles have been accepted for publication. Do not send original submissions to AIP. If your journal uses a Peer X-Press website for manuscript submission and peer review, submit all files to that website. Do not use the ftp instructions listed here.

File Naming Conventions:

Text: [Six-digit AIP Code Number][Three-letter journal acronym].doc, .tex, .bib, .bbl

Figures: [Six-digit AIP Code Number][Three-letter journal acronym][figure number].ps, eps, .tif

FTPing Files to AIP:

Do not use uuencode or BINHEX to compress files. Files that are tarred and zipped are okay.
Make sure there is only one document per file: one figure per file, one text document per file.

  1. FTP to ftp://ftp.aip.org
  2. Login as “anonymous”
  3. Password: Your full email address
  4. Change directory to /elecsubs
  5. Transfer TIFF and Word files as BINARY, all other files as ASCII

The “elecsubs” directory is a secure directory, meaning that you cannot overwrite files, nor can you view a listing of all files in the directory. You will need to type in the exact file name to view a listing of files that you have FTP’ed to the directory.
If you must re-FTP your files, you will not be able to overwrite files that are already in the directory. Therefore, add an extra “.2” extension to the end of the file name.
